Workforce Management

Tool for officers

by Mark Rowe

Eboracum UK, a York-based security contractor, has rolled-out a workforce management tool across its mobile and site officers. The software which offers patrol monitoring and electronic reporting is contributing to new business wins, the contract firm says.

Some 40 security officers and facilities support assistants are now using SmartTask, installed on a smartphone, to track service delivery and streamline operational procedures. The software was originally adopted after a trial to provide patrol monitoring for Eboracum UK’s manned guarding and alarm response services, with security officers swiping unique tags at key locations to capture attendance, time, date, GPS and status information.

That’s since been expanded to include ‘SmartForms’, whereby Eboracum UK can create bespoke forms based on needs of customers and the business. The company has configured the SmartForms for uses such as incident reporting, inspections, audits and requests, with around 20 created to date. Employees can complete and submit an electronic form, so Eboracum UK has been able to replace manual, paper-based processes to save time and money.

Carl Nickson, Managing Director of Eboracum UK says: “We are using SmartTask to transform our operational processes, so we can continue to provide a highly responsive and quality service to our customers that meets their changing needs. Our aim is to become the partner of choice for businesses in and around York, so we wanted a workforce management tool that was not only simple to use, but also delivered measurable performance benefits.”

During a competitive tender for Vangarde Shopping Park, at Huntington outside York, Eboracum UK was able to use SmartTask to differentiate its service offering as well as show commitment to the latest technology. As a result, the company was able to secure a contract – covering security, cleaning and grounds maintenance requirements at the retail park. SmartTask is being used to capture proof of work, record incidents and monitor the wellbeing of the onsite team responsible for public areas, car parks, bin stores and service yard.

Deb O’Donnell, Centre Manager at Vangarde Shopping Park says: “SmartTask has given us complete peace of mind that we are achieving a quality service by providing complete transparency of the security, cleaning and grounds maintenance team. We have total visibility of performance levels with round-the-clock access through the online portal, which is helping us operate seamlessly with Eboracum UK and forge a close working relationship moving forward.”

Paul Ridden, CEO of SmartTask said: “The configurability of SmartTask means we can work closely with our customers to meet their exact business needs. This is helping companies such as Eboracum UK to gain competitive advantage within the security sector and wider facilities marketplace, while cutting down on administration and reducing operational overheads.”
